Embrace East Africa works with students across 8 nations. We take privacy seriously. We never sell your personal data. We collect only what we need to run the platform and support the campaign.

1. Information We Collect

In plain language
We collect only what is needed to run the platform and the outreach campaign. We do not collect sensitive data we do not need.

  • Account registration details (name, email address, age or grade, school or institution, country)
  • Profile information (biography, profile photo, interests)
  • Content you publish (essays, letters, stories, opinion pieces, podcast episodes)
  • Competition entries and associated metadata
  • Session feedback submitted through the outreach review form
  • Communications with our support team

  • Device information (browser type, operating system)
  • Log data (IP address, pages visited, features used, time of access)
  • Session cookies for authentication and preferences
  • Aggregate usage analytics to improve platform performance

2. Student Privacy

In plain language
Embrace East Africa works primarily with students. Users under 18 have additional privacy protections. We do not build commercial profiles of students or show them targeted advertising.

Embrace East Africa is committed to the protection of student privacy across all 8 EAC member states. We comply with applicable child and student privacy laws in each jurisdiction in which we operate. For users under the age of 18:

No commercial profiling

We never use personal information from users under 18 for commercial profiling, behavioural advertising, or data brokerage.

Parental consent for under-13s

Users under 13 require verifiable parental or guardian consent before their account is activated.

School partnerships

Where Embrace East Africa operates through a school, the school is responsible for collecting parental consent in accordance with applicable law.

Parental access rights

Parents and guardians may request access to, correction of, or deletion of their child's personal data by contacting privacy@embraceeastafrica.org.

3. Outreach Session Data

In plain language
Feedback you provide during or after a school outreach session is used only to improve the programme. It is never sold or shared with advertisers.

When you fill in the session feedback form during or after an Embrace East Africa outreach visit, the information you provide — including your name (if given), school, grade, and responses — is used exclusively to:

  • Measure the impact and reach of each campus outreach session
  • Improve the content and delivery of future sessions
  • Provide aggregate anonymised reports to partner schools and institutional stakeholders
  • Identify which aspects of the EAC integration message resonate most with students
  • Track interest in joining the platform so we can follow up appropriately

Session feedback is never sold, shared with advertisers, or used for any commercial purpose. Aggregate statistics (e.g. "85% of students rated the session as 'Good' or 'Amazing'") may be shared publicly to demonstrate campaign impact.

5. How We Share Your Information

We do not sell your data. We share it only with service providers who help us run the platform, and only with your consent.
  • With service providers who help us operate the platform (e.g. cloud hosting, email delivery) under strict data processing agreements
  • With partner schools or institutions for aggregate outreach reporting (never individual student data without consent)
  • With competition judges, limited to your submitted entry and public profile name
  • With law enforcement or regulators when required by law or to protect user safety
  • With your explicit consent for specific purposes you have approved
We will NEVER:
Sell your personal information to third parties, share it with advertisers or data brokers, or use student data for targeted advertising of any kind.

8. Security

We implement industry-standard security measures to protect your data, including TLS encryption in transit, encrypted storage of sensitive data, role-based access controls, and regular security audits. If you discover a vulnerability, please report it to security@embraceeastafrica.org.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by a prominent notice on the platform at least 14 days before they take effect.
